Customize Your Kimoby Pay Invoice

CDK users can now benefit from an improved Kimoby Pay experience. 

The new invoicing feature helps you provide clear and easy-to-understand invoices to your customers, so you can spend less time explaining and more time on higher-value tasks. Plus, by giving customers all the information they need to complete the payment, there are more chances they will use Kimoby Pay as their preferred method.

Make sure to personalize your invoice by adding your company logo and selecting your language of choice. That way, customers will feel more confident that your business is issuing the invoice.

Setting Up Your Invoices

Customizing your invoice will help your customers trust that it’s coming from your business. 

Edit Logo and Language 

  1. Select your name at the top right of the screen.
  2. Select Company settings.
  3. In the Information tab (which is selected by default), upload your company logo.
  4. From here, you can also choose your language of choice.

Edit Payment Footnote and Estimate Footnote 

Update your invoice with legal payment terms. You’ll protect yourself from misunderstandings and let your customers know what to expect from the transaction.

To access your Invoices settings: 

  1. Select your name at the top right corner of your screen.
  2. Select Company settings.
  3. Select Invoices in the Feature Settings sub-menu.

From the Invoices settings, you can edit the information that will appear on estimates or invoices you send to your customers, like terms and conditions, payment terms, tax ID, or other relevant details.

Simply write your desired message under Payment footnote or Estimate footnote.

Sending Your Customer an Invoice

Invoices are client-specific, so you can only send invoices to select customers.

From a new message:

Sending Invoice

  1. Select New message at the top left of your screen.
  2. Enter your customer’s name or phone number. 
  3. Select the Invoice Sleep (26) icon.
  4. Select Pay with invoice.
  5. You can select the specific invoice you would like to send and use the search bar to filter through the invoices associated with that customer.
  6. From there, you will be able to see the invoice reference number, the amount, status, and details of the invoice.
  7. Select View preview to view the pdf version of that invoice.
  8. Select Add invoice Sleep (101) if the status of that invoice is closed or Add payment Sleep (101) if the status is open.
  9. Write your message in the message box or insert a saved reply.
  10. Select Send.

From an existing conversation:

  1. Select the customer’s conversation.
  2. Select the Invoice Sleep (26) icon.
  3. Select Pay with invoice.
  4. You can select the specific invoice you would like to send and use the search bar to filter through the invoices associated with that customer.
  5. From there, you will be able to see the reference number, the amount, status, and details of the invoice.
  6. You can select View preview to view the pdf version of that invoice.
  7. Select Add invoice Sleep (101) if the status of that invoice is closed or Add payment Sleep (101) if the status is open.
  8. Write your message in the message box or insert a saved reply.
  9. Select Send.

Sending a Payment Request

From a new message or an existing conversation:

  1. Select the Invoice Sleep (26) icon.
  2. Select Quick payment.
  3. Enter the amount and reference number. Both are required to send a payment request.
  4. Type your message in the message box or select the Saved Replies Sleep-1 icon to use an existing message. See the quick link Payment requests message templates for examples.
  5. Select Send.

Steps for Customers to Complete Payment

Customers will appreciate how easy it is to settle their invoices from wherever they are. Plus, they can choose to pay with the credit or debit card of their choice.

Once you send the payment request, your customer will receive a secure link by text message. They can settle their invoice directly from their mobile phone. As soon as a customer has paid the invoice, you will receive a notification. You can turn on your Kimoby Pay notifications here.

If needed, you can send the following steps to your customers if they need help completing their payment.

How Customers Receive Invoices

Open your text message inbox on your mobile phone.

  1. Open the conversation that has the payment request.
  2. Select the secured link to process your payment. A new page will automatically open in your browser. On the top left corner of your screen, you have the option to either call or text that company if you have questions or concerns. You will also see the number of your invoice and the amount due.
  3. Select whether you wish to pay by credit card, Apple Pay, or Google Pay.
  4. Once your payment is complete, you can send yourself the invoice and receipt by email, or you can download the invoice or receipt of your transaction directly from your phone.
